Terms & Conditions

Acceptance of Terms

By purchasing a ticket and/or attending FoodRevolution 2026 (the "Event"), you agree to adhere to these Terms and Conditions.

Registration and Payment
  1. Registration for the Event constitutes a binding legal agreement.
  2. Only fully completed registration procedures will be accepted. A registration will be considered valid once the entire process is finished—including payment—and any required proof of status has been submitted. If registration is initiated before the early bird deadline but not finalized, the full registration fee will automatically be charged if payment is not received by the deadline. Payments should be made by credit card. If this method is not feasible, please email foodrevolution@affidia.tech to request bank transfer payment. The organizer will provide the necessary details for the transfer, which must be completed within 15 days. Please note that any bank fees incurred for the transfer will be the responsibility of the individual requesting this payment option.
  3. Tickets are non-refundable and non-transferable unless otherwise specified.
  4. Value-Added Tax (VAT): Applicable to in-person conferences. VAT applies to all conferences held within the European Union, regardless of the participant's location. This is stipulated in Directive 2006/112/EC, Article 53. As the Event falls under this article, all registration fees are subject to the VAT rate of the country hosting the event.
  5. A confirmation and invoice will be sent via email upon receipt of a fully completed registration. Participants are responsible for any bank charges incurred during payment. Failure to cover these charges will result in incomplete registration.
  6. Participants making payment shortly before the Event are advised to bring proof of payment in case it has not been recorded.
  7. Access to the conference is exclusive and non-transferable without prior written permission from us.
  8. We do not provide any funding.
  9. The official language of all conferences is English, unless otherwise stated; no translation services will be offered.
Proof of Status
  1. To register as a student (bachelor's, master's, or PhD), registration must be accompanied by (i) proof of studentship and, if specifically indicated, (ii) an abstract for an oral contribution or poster presentation; otherwise, registration will be denied.
  2. Proof of studentship must be an official certificate of full-time enrollment at a recognized university, college, or educational institution.
  3. The discounted fee for students is intended for who is not already employed by a business entity and is under 30 years of age.
  4. To register as a Plus1, the name of the registered individual from the same company/institution must be provided during the registration process. Approval will occur only after verification of this requirement.
Letter of Invitation/Visa Requirements
  1. To receive a letter of invitation, participants must be fully registered for the Event, with payment submitted in full. Participants should request the letter well in advance, as it will not be issued within one month of the Event. The letter does not create any financial obligation for the Event organizer; all associated expenses are the sole responsibility of the participant. Costs for express mailing of documents must also be covered by the participant.
  2. It is the sole responsibility of the participant to ensure compliance with visa requirements.
Cancellation/Refund Policy/Event Changes
  1. Refunds, minus administrative fees, will be issued for cancellations received up to one month before the Event. Cancellations are only valid if submitted in writing. No refunds will be issued for cancellations made within one month of the Event; however, participants may designate a substitute delegate.
  2. No exceptions to the cancellation/refund policy will be made for participants unable to obtain a travel visa.
  3. No exceptions will be made for participants due to travel-related issues, natural disasters, or other unforeseen events.
  4. If the Event cannot be held or must be rescheduled due to circumstances beyond our control (including but not limited to political events, natural disasters, or Force Majeure), participants cannot hold us liable for any damages, costs, or losses incurred. We reserve the right to retain the full registration fee for future use or refund it after deducting unrecoverable costs incurred for the Event organization.
  5. The organizer reserves the right to make changes to the Event schedule, location, and lineup without prior notice.
  6. Attendees will be notified via the contact information provided at the time of ticket purchase in case of significant changes.
Liability
  1. By attending the Event, you acknowledge that the organizer is not liable for any personal injury, loss, or damage to personal property during the Event.
  2. Attendees are responsible for their personal belongings at all times.
Attendee Obligations
  1. Attendees are expected to conduct themselves respectfully and courteously. The organizer reserves the right to remove any attendee who violates this code of conduct.
  2. Harassment, discrimination, or any form of disruptive behavior will not be tolerated.
  3. Attendees must comply with any health and safety guidelines in effect at the time of the Event.
Photography and Recording

The Event may be photographed or recorded. By attending, you consent to the use of your image and likeness in promotional materials and future communications.

Accessibility

The organizer is committed to ensuring that the Event is accessible to all attendees. Please contact us in advance if you have specific accessibility needs.

Amendments

The organizer reserves the right to amend these Terms and Conditions at any time. All changes will be communicated via the Event website or through direct notifications.

Governing Law
